Ashmolean museum
The Ashmolean Museum of Art and Archaeology on Beaumont Street, Oxford, England, is Britain’s first public museum. Built in 1683, it’s no surprise clients want to use this venue for their big day, wedding party or special birthday due to its amazing history and the perfect layout within. Each room is allocated to a certain part of the event, for example the RSG would often be used for large party space, corporate events or a wedding breakfast.
Why did the clients and event planner choose to recommend us, well we’ve had plenty of experience when it comes to highlighting the amazing internal and external features within the Ashmolean Museum in Oxford.

Detailed consultation
As with most events of this scale we would always offer to meet the clients either at our offices, zoom call, or of course at the venue itself to get a real good feel for what needs to be achieved and for us to connect with the person. Firstly we’d discussed the ideas and what the event was about so we could fully focus and bounce ideas between us to be able to create and recreate the packages in the event spaces being used in the venue. Walking through the spaces with the event planner and the clients to give a detailed explanation of how the equipment would be positioned and used in its optimal ways we then closed then meeting after exchanging contact details.

So in this case the challenge for us was not to fully dress the venue with a completely fresh lighting solution, but to recreate an event that had already had similar creations but with a personal twist. With this being a very special day for the couple getting married we had to be very specific about the lighting and the mood to make the right atmosphere. Selecting a trusted DJ and the right size packages for the evening entertainment so guests took memories away with them that would stay with them forever. We always take into account the visual aspect especially when photographers are present so to highlight the amazing features and help bring the building to life for these few hours was vital.
RESULT

our solutions
We lit up the entrance with our wireless LED uplighting package with the colors of the clients choice for the first part of the wow factor when guests arrived and entered the building, with the continuity being continued through the venue including the Atrium and into the Vaults. The Atrium was used for the initial entry by guests and bride and groom with a basic speech pa system and warm lighting on the features for a drinks reception and greeting of friends. Then onto the wedding breakfast in the second space being used for the occasion. Creating an ambient glow we then used warm white LED lighting washes to highlight the statues in the RSG where the fine dining took place. No color was desired in this area so a neutral approach was taken. The need for amplified speeches meant we supplied a simple discrete Pa system and a wireless microphone with the option to play background music. Once the desserts were served it was all guests downstairs for the party and dancing to begin, again with uplighting used within the arches of the vaults to make the place glow and with a high powered Pa package for the dance floor. To come away from the more traditional disco lighting we included pro moving head club lights and a high powered mirror ball package to give the room the sparkle. As an additional but favorite we added battery powered fairy light strings to the pillars, we use battery strings so not to cause any trip hazard with cables on the floor. The DJ we supplied started off slowly and as the night continued ramped up the sound and included the requests put forward by the newlywed couple. We always give our clients the option to communicate with our DJ beforehand and speak directly to get a feel for each other’s needs and know what music is to be played including a first dance song. When the last song was played the guests including the bride and groom left the building and our late night team then continued to clear away all equipment used in the venue. As the areas being used throughout the evening were staggered our technicians were able to clear each room as the event took place without guests being disturbed meaning just the Vaults were left to clear. This meant we were able to clear the rooms and leave the venue within the time allocated so the venue event team and security staff were able to finish on time as agreed.

OXFORD TOWN HALL
Oxford Town Hall is a public building on the street called St Aldate’s in central Oxford, England. It is both the seat of Oxford City Council and a venue for public meetings, entertainment and other events. It also includes the Museum of Oxford. Clients want to use this venue for their corporate Christmas events, and how can you blame them? You can’t, it’s an amazing structure with features like no other which gives it its individualism which also makes for a bespoke gathering area. With such opportunities to be had in the event spaces offered it’s no wonder they’re a prime venue.
Why do the events team choose us to dress their venue in lights and props? Well, we’ve had plenty of experience when it comes to highlighting the amazing internal features within the Oxford Town Hall. With AV packages including magical lighting, special effects and props to suit the annual themes. What with making a few additions to give the events the excitement they deserved.

DETAILED CONSULTATION
As with most events of this scale we would always offer to meet the clients either at our offices, zoom call or of course at the venue itself to get a real good feel for what needs to be achieved and for us to connect with the person. In this instance we took a team to the Oxford Town Hall and did a live demo which included ideas from our side and suggestions from the event team’s side which involved hanging drapes and banners, building entrance curtains and projecting gobo images so we could then agree on a suitable package for the ideas. After then sitting down around a table with our tech’s and the events team and a coffee kindly supplied by the inhouse caterers who are amazing we began to discuss potential ideas. One of the team who deals with the bar and catering suggested a lit mirror surrounded with warm white bulbs as part of an art deco gatsby theme, whilst in the previous years they were asked to hang upto 30+ mirrorballs rigged between the balconies.
CHALLENGES

EVENT CHALLENGES
So in this particular event the theme was ‘disco’ and what a cool theme to work with, straight away we got the imaginations going and included suggestions of larger mirror balls being used on the balconies with high powered moving head lights, a giant 10 foot long real glass blown Neon in green, and nothing says Christmas more than a huge suspended Neon that says… Christmas! Alongside this we were asked to create a retro feel but not too cheesy disco, so we took a step back into the past, likely as far back as the John Travolta disco era and got to work. Large stars were suggested being used with movement as this is always a nice crossover between a starry night which is very Xmas and also stars on the dancefloor. Neon signs were suggested above the bar areas to give that awesome glow and create a little nod to the disco and retro although very popular scene.
RESULT

OUR SOLUTION
We arrived nice and early into the Town hall and began with two of our team members rigging the steel cable between the balconies and assuring safety first. By the time our second van arrived with the more delicate equipment the mirrorballs were hung in all their glory. Now for the fun with the lighting to begin, we headed to the balcony to create the rotating stars with our new LED Gobo Rotators and also began to erect the mirrorballs and moving head lights. Once switched on and programmed suddenly the room became what felt like being inside a snow globe! It certainly looked very disco. Next for our hanging of the vintage Neon Bar Open sign and supplying light for the bar staff to see when in service, we tend not to give too much colour behind working areas as it can be distracting for the servers. Now the finer details were coming together. We wanted to hang the large Christmas Neon which we were all looking forward to seeing, switched it on and watched the amazing glow of the Argon gases illuminate the green tubes. The next was a set of the older retro lights we stock, we stock the retro section to be different to other supplies and also as some of these past gone amazing effects are not available anymore or incredibly expensive to try and recreate and sometimes impossible. Our Solar 250 Oil Wheel effects were then shone onto the back walls either side of the organ on the main stage to give a nod to the oldskool disco vibe. Now for the final touch, the uplighting on the upper and lower levels of the hall with colours to match the disco coolness and this also included the stairways and the Assembly Room. We are present at the beginning if each one to be sure everything is fully operational and switched on and programmed. After roughly 15 events it’s time to derig the equipment and give the security and events team time to relax. We arrive at midnight with as many hands as possible from our team and clear the venue and wish everyone a Merry Christmas.

Our academic publishing programme serves scholars, teachers and researchers, publishing important and rigorous research and scholarship across subject areas stretching from History to Life Sciences to Economics. With awesome grounds and a quad and a lovely cafe we can fully understand why internal operators decide to throw events and open evenings for their clients and staff. Why did the events coordinator choose to use our services, well we’re a recommended supplier and this would not be the first time we worked here. After supplying a full show throughout from entrance to outdoor and all internal rooms they trust us to fulfill the required services.

The biggest part for us was to be lighting up the different areas of the venue and project logos for this particular event, this included the restaurant, corridors and outdoor quad. In a previous event also held in October it was officially the first event to have ever taken place where lighting and special effects were brought in. So being honest we had a few ideas already for pillars, archways and general projection and colors as we knew this worked and the client had seen photos from our previous production services and agreed this worked nicely. In this instance we needed to create a fireworks show with only lights and no real fireworks or pyrotechnics to be used. It was a challenge but we were determined to give everyone a show with music and lights. Initially we’d thought maybe the effect was needing to be a little more basic but then realized after the meeting we needed to produce a show where guests were being guided too at a certain time.
RESULT

OUR SOLUTION
We created a fake bonfire from multiple sized silk flames and topped it with a real gas flame flambeaux to create the desired effect within our boundaries of safety. This would give the feel of a cozy bonfire outside in the quad whilst guests were able to drink their hot chocolates and it was certainly a cold evening so very realistic. After a countdown from ten to 1 animated on the wall with a high powered laser the classical music began and a soundtrack with special effects including whistles and bangs synced started playing. With fog jet bursts and coloured smoke to create the gerbs on ground level to high powered beamed dancing and shooting up into the sky we also animated the wall washes with chasing colors and fades which were being controlled by our on site lighting technician. We also projected a welcome sign onto the quad when guests entered the area and had animations from a multi-coloured laser beaming through the two low fog hazers we had to give the misty atmosphere outside. The hazers also helped to let the light beams shine through. With the soundtrack coming to an end after roughly 12-15 mins and our firework gobo lights strobing it was time to wind down the show. As we wanted this to be as realistic as possible. We let the silk flames ripple and the flambeau stayed lit whilst guests left the quad to go back into the warmth and and ended off with some soft music whilst talking with a few of the guests before we packed down the equipment. We had the whole venue internally and externally packed down and in the van ready to sign out and leave the venue within roughly an hour and a half.

Designer emporium popular with fashionistas, also strong on beauty products and gourmet food. Today, Harvey Nichols has seven stores within the UK and Ireland, consisting of five large-format stores in London, Edinburgh, Birmingham, Leeds and Manchester, and two small-format stores in Bristol and Dublin. In addition, Beauty Bazaar, Harvey Nichols Liverpool is a unique beauty concept store, housed over three floors within Liverpool ONE.
There are also five large-format stores overseas: one in Riyadh, one in Dubai, two in Hong Kong and one in Kuwait. Many prestigious brands and artists are involved in events including product launches to fashion shows and even DJ’s are present across multiple floors for VIP guests and daytime shoppers which gives a welcoming entrance for this amazing store.
Why did the clients and event planner choose to use our services? We’ve had plenty of experience when it comes to fashion shows, runways and product launches where we can offer technical support and on site av operators alongside our high quality AV packages to suit each show. With AV packages including lighting, sound and a professional DJ equipment we can accommodate the store with its needs to help get the new products or the message across to the audience.

Firstly we’d discussed which areas were being used and what kind of packages we felt suitable to offer, making sure safety comes first and where a wireless solution could be used and even swapping out our usual tripod speaker for gravity stands for a sleek and high class look.
Having then been shown the spaces with the event planner, in this case via photo’s and knowing areas from supplying equipment at previous shows we quickly organized a breakdown of pricing offered and then moved on with the confirmed date.
CHALLENGES

It’s always clear to know what the challenge is for us in this area of the AV industry and knowing the difference between the party world and corporate events even when sometimes combined is very important. Some of the speakers are being flown in to do a talk on a very prestigious brand and we only get one shot and getting it right, there are sometimes press present and everything needs to look professional and sound as clear as possible which sometimes in the active shopping areas can be tricky especially where acoustics come in. Things can change upto the last minute and our tech’s need to be on hand to be sure once we get the green light we’re ready for the panel to begin their talks nice and clear. In this case it was for us to supply lapel microphones and headset microphones for our speakers talking on the day and also for DJ equipment for the closing party.
All equipment would need to be within the shop floor before opening time meaning an early load in and vehicles parked and staff signed in with security. The DJ booths would need to be on all floors required and Pa system tested and ready for the DJ’s to arrive and all wireless systems sound checked. Tech riders would be exchanged by this point before confirmation and a running order printed and handed over.
RESULT

our solution
Upon arrival and signing in with security and vehicles parked it was time for us to load all AV equipment into the shop floor and get everything set up before doors open at 10:00am. With a final walk through with the event planner we then knew the exact areas being used and which packages were to go where. The first being the panel talks as this was priority for us, this consisted of lapel microphones and pa speakers for a smaller audience area. The area is very intimate and needed to be as discreet as possible so we make sure our engineers are seen as little as possible in front of the cameras.
Once the mics were checked for any interference and sound levels set to avoid any feedback it was time to move onto the demo area, this consisted of headset mics as a demo of products was to be carried out live in front of the audience area. Similar to the lapel mics we tune the sets and test the levels and then head to the multiple floors with the team splitting up, we set up smart looking DJ Booths and sleek looking pa systems for the DJ’s and always supply the latest DJ equipment including just recently pioneer CDJ3000’s & A9 Mixer when requested or shown on the artists rider.
Once the speeches and live show was about to start we requested for the store to lower its internal speaker system so we don’t clash with the music instore. Once the live shows have finished drinks and canapes are served and the DJ’s begin until store closing unless a VIP afterparty is arranged. Our AV techs are always onsite when microphones are being used for presentations or live shows. The team are quick to take down any areas now not being used while the DJ entertains the crowds and when the last track is played we’re ready for action. Everything is then cleared away safely with a final room and floor check and loaded back into the loading bay, once we’re clear of the building the security then signs us out.
